One system to run every client, every dollar, and every deadline.
Varyn is the operating system for consultants and agencies: payments, scheduling, contracts, files, messaging, and a client portal, run by an AI that does the busywork and waits for your approval before it acts.
Plans from $49/mo. Unlimited clients and every feature on every plan. Your first client portal is live in under 10 minutes.

On the right, the AI assistant is waiting for approval to schedule an event. The action is not taken until you approve it.

The real cost of "figuring it out"
Every scattered tool is a place a client can slip through the cracks
Calendly for booking. Stripe for invoices. Slack or texts for updates. Google Drive for files. DocuSign for contracts. A spreadsheet pretending to be a CRM. None of it talks to each other, so you do the connecting, manually, every single day.
Without Varyn
The 8-tab reality
Booking links, invoices and contracts live in different apps
You're the one manually chasing signatures and payments
Client questions are buried in email threads and DMs
A client's history is scattered across half a dozen tools
Clients see a patchwork of logins instead of one brand
With Varyn
One system of record
Booking, invoicing, contracts and files in one client project
Workflows chase payments and signatures automatically
Client messages live inside the same client record
Every client, booking and invoice on one client project
Clients get one branded portal: it looks like you have it together
Everything, in one place
One login. Every part of running client work.
Varyn isn't another point tool. It's the full back office for your consulting or agency business, built so nothing you need lives anywhere else.
Payments
Send invoices, collect deposits, and get paid on autopilot with reminders that go out before you have to ask twice.
Client Messaging
Real-time conversations tied directly to the client record, files and all, so you're not digging through three apps to find one thread.
File Sharing
Deliverables, briefs and assets shared in a secure client-facing space that never gets buried in an email thread.
Mini CRM
Every client, tag, status and history in one contact record, light enough to actually keep updated.
Booking Links & Availability
Share one link, set your real availability, and let clients book themselves in. No back-and-forth emails.
Meetings Built In
Native video meetings tied to the booking. No separate Zoom link to hunt down or paste in manually.
Client Projects & Tasks
A project per client with steps, milestones and history, so the whole story of the engagement is in one place.
E-Signatures & Forms
Contracts, intake forms and agreements signed inside the same flow. No bouncing clients to a third-party site.
Client Portal
One branded, secure hub where clients see their meetings, files, invoices and messages. No login confusion, no "where do I go."
Meeting Notes & Transcripts
Every Varyn meeting is transcribed, then summarised into decisions and action items you can act on without rewatching the call.
Automatic Workflows
Trigger reminders, follow-ups, invoice chases and status updates the moment something changes. Set once, runs forever.
AI That Runs It For You
Ask the assistant to draft messages, schedule meetings, or chase a task. It prepares everything and waits for your go-ahead.
The Varyn assistant
An AI that can do everything, but never acts without you.
Tell it what you need in plain language. It drafts the message, proposes the meeting time, fills in the reminder, and hands it back for a single click of approval. You stay in control of every send, every booking, every dollar.
Nothing sends, books or charges until you hit Approve. That’s not a limitation. It’s the whole point.
Drafts client replies and follow-up sequences
Finds open slots and proposes meeting times around real availability
Surfaces overdue tasks and drafts the nudge for you
Explains the "why" behind every suggestion

One plan for everything. Pick your volume.
Unlimited clients on every plan, and every feature on every plan. Tiers differ by included meeting minutes and AI credits, and you can buy more credits at any time without changing plan.
Only two things are metered. Meeting minutes and AI credits, both included monthly and both refilled at the start of each billing period. Minutes are a hard cap — moving up a plan is the only way to get more inside a month — while credits can be topped up at any time. Clients, and every feature, are unlimited on every plan: there is nothing else to run out of.

Room time on a video meeting hosted in Varyn — from the moment the room opens to the moment it closes, rounded up to the next whole minute. A meeting counts once however many people are in it, and meetings you hold elsewhere do not count at all. When a month's minutes are gone you cannot start new meetings until the period resets or you move up a plan: there is no minutes top-up.
What an AI credit buys
AI work: meeting notes and summaries, the assistant's drafts and suggestions, and asking questions across past meetings. Longer meetings and bigger jobs cost more credits than short ones. Recording and transcription are not charged as credits — the call itself is what uses minutes. When the included credits are gone, AI features pause until the period resets or you buy a credit pack; everything else keeps working.
Need more AI credits?
Buy a credit pack on any plan. It is a one-time purchase, the credits never expire, and they are used once the credits included with your plan run out — so a busy month never means changing tier.

Before you switch
Not yet — there is no bulk CSV import today, and we would rather tell you now than have you discover it halfway through setup. You add clients by inviting them by email: each one gets a secure link, sets up their portal login once, and arrives already connected to you. Export runs the other way from day one, so your client list downloads as a CSV whenever you want it and nothing you put in is locked in.
No. The assistant drafts, you approve. It can prepare follow-ups, reminders, summaries and suggested bookings, and every one of them waits in an approval queue until you review it. Nothing reaches a client until you press send, and you can see the reasoning behind each suggestion before you decide.
It stays yours, and you can take the parts that matter out as you go — your client list, form responses and signature audit trails each download as a CSV from the dashboard. Cancel whenever you like from your billing settings; your plan runs to the end of the period you have paid for, and after that only new meetings and AI actions pause. Your clients, messages, files, invoices and history all stay readable. When you want the account gone, request deletion from our account deletion page and we remove your data on the schedule set out in our Privacy Policy.
Room time on a video meeting hosted in Varyn — from the moment the room opens to the moment it closes, rounded up to the next whole minute. A meeting is counted once, however many people are in it: a one-hour call with four people costs an hour, not four. It comes from the call that actually happens rather than the slot you blocked out, so a meeting that starts late or wraps up early counts as it ran, not as it was booked. Meetings you hold somewhere else and simply log against a client do not count at all.
AI work, and only AI work: meeting notes and summaries, the assistant's drafts and suggestions, and asking questions across your past meetings. Bigger jobs cost more credits than short ones, so a long meeting's write-up costs more than a one-line draft. Recording and transcription are not charged as credits — the call itself is what uses meeting minutes, which is why the two meters run independently and empty at their own pace.
The two run out separately, and only the matching feature pauses. Every plan includes a monthly pool of meeting minutes and a monthly pool of AI credits, and both refill at the start of each billing period. If the minutes run out, you cannot start new meetings until the period resets or you move up a plan — there is no minutes add-on. If the credits run out, AI features pause until the period resets or you buy a credit pack; those packs are a one-time purchase and the credits never expire, so anything you buy and do not use is still there next month. Nothing else is affected: clients, messages, files, invoices, forms and signatures all keep working either way.
They get a portal, and it is one short signup. Clients follow a secure invite link and choose a password once — after that, bookings, messages, files and invoices all live in one place they can come back to. Plenty of things need no account at all: booking links, reschedule and cancel links and signature requests all open straight from the email.
Stop being the glue between eight tools.
